Workflow - creating emails

Hi,

I have created a workflow whereby emails are sent out through a trigger. It works perfectly fine, when I leave the 'from' entity empty. However, if I put from = owner of the case, I would receive the following workflow error:

"You cannot send e-mail as the selected user. The selected user has not allowed this or you do not have sufficient privileges to do so. Contact your system administrator for assistance"

Then I have found the following option setting within the user's file>options>email:

"Allow other Microsoft Dynamics CRM users to send e-mail on your behalf"

I ticked that box to try it out. And it worked! However I am really unsure whether I should leave it ticked! Also, it would also mean, that I would have to have all users tick that box to send themselves email notifications! It occur to me, whether it also means that users may be able to send emails on behalf of other users.

Hence, I thought about a workaround by setting up a new admin user (=CRM) and assign that workflow to that user. All emails will be sent by that admin user.

I am not sure whether that is the ideal solution and hence would like to ask for suggestions in this forum.
