OK we're starting to get into using Dynamics CRM 2011 now and we have come across a few problems.
1 - Say Salesman 1 wants to email Salesman 2 about an account. He writes the email, and hits Set Regarding and picks the account. It tracks in CRM and he can see this as a closed activity in CRM after he send the email. So Salesman 2 responds, but this response is not tracked. Shouldn't it be tracked because it is in response to an email that WAS tracked?
I don't want to set it to "track all email" because then won't that create contacts and track emails for people we don't want, like say I get an email from the Dynamics community about a response to this question - will that email address be added to Dynamics as a new contact (Without a first and last name or any other info?) or what happens to these emails that don't have corresponding contacts already in CRM? which leads into question two.
2- What happens when I hit Track on an email that is to someone not in the CRM contact list, or Track on an appointment without going to Set Regarding? Where does it "Track" it to? I've tried looking under my name but don't see any place where these items would be stored.
3- Ok so it's great that people can update accounts and make Phone Call records and appointments for other salespeople, but how do the Owners of those accounts or contacts get notified of any changes? I like the Activity Feed section they added, a guy could look at his What's New section and see what changed - but you have to follow every person you want to see updates for. That can be cumbersome for a guy with over 500 contacts. Is there some way that the person who owns the Contact/Account can get a notification (like when you miss appointments in Outlook you get a popup) when any information is changed, or when an activity or other record is created against the Contact/Account? I like the Audit section, you can review changes made but it doesn't notify of changes made.
4- Under Security Roles, under Salesperson, there is an Assign column and mostly everything is set to User. Does that mean they can only assign things to themselves (take an account from someone) or they can only Assign things that they already own (give away an account)?
There are probably questions I'm forgetting right now... but hopefully someone can help me with any of these!!! Any and all help will be greatly appreciated!
